The website serves as the official platform for various registrations in the state of Kerala, India, managed by the Kerala government. How to apply for Encumbrance Certificate ?
- Go to the Certificate menu and choose ‘Encumbrance Certificate’.
- Select ‘Submit Application for EC’ to open the ‘Application for Encumbrance Certificate’ window.
- Fill in all the required fields up to ‘Previous Document Details’ and click on the Save/Update button.
- Review the saved details in the updated window.
- Enter the Property Details and Boundary of the property and click Save/Update.
- Review the saved details again in the updated window.
- Enter the search period and click Calculate Fee to view the fee for the search period.
- Fill in all mandatory fields and click Submit Application.
- Once submitted, an Acknowledgement window will open. Click ‘View Acknowledgement’.

- Choose a convenient date for solemnization within 30 days and proceed.
- Upload a Notice in the prescribed format (File Size < 150 Kb) and proceed.
- Choose the mode of fee payment (Cash Payment / Money Order / e-Payment) and submit the application accordingly.
- Attend the scheduled appointment at the Sub Registrar’s office with all necessary documents.
- Complete the formalities at the Sub Registrar’s office, including verification by the official.
Delayed Applications :
- Condone delay from authorised authority.
- Registration officials forward application for approval.

Documents of which registration is compulsory :
The following documents must be registered if they relate to immovable property in a district where the Indian Registration Act or its predecessors came into force :
Instruments of gift of immovable property.
- Non-testamentary instruments creating, declaring, assigning, limiting, or extinguishing any right, title, or interest in immovable property valued at Rs. 100 or more.
- Instruments acknowledging the receipt or payment of consideration for such rights or interests.
- Leases of immovable property for a term exceeding one year or reserving a yearly rent.
- Non-testamentary instruments transferring or assigning any court decree, order, or award related to immovable property valued at Rs. 100 or more.
Exceptions :
- Composition-deeds.
- Instruments relating to shares in joint-stock companies.
- Debentures not creating rights in immovable property, except for security purposes.
- Endorsements or transfers of such debentures.
- Documents not directly creating rights but enabling the creation of such documents.
- Court decrees or orders, except those involving immovable property.
- Grants of immovable property by the government.
- Instruments of partition made by revenue-officers.
- Orders granting loans under specific acts.
- Orders under the Charitable Endowments Act, 1890.
- Endorsements on mortgage-deeds acknowledging payment.
- Certificates of sale granted to purchasers at public auctions.
- Documents effecting contracts for the sale of immovable property are not required to be registered solely based on containing recitals of earnest money or purchase money payment.
- Authorities to adopt a son, executed after January 1, 1872, must also be registered if not conferred by a will.
